JOB SUMMARY:
Responsible for daily operations in managing the accounts payable and contract compliance processes for new and existing contractors and vendors and supporting the various system policy process requirements to support AR Transmission Grid and the Southwest AR Substation Group.
JOB DUTIES & RESPONSIBILITIES:
- Assist internal and external customers with courteous professionalism, maintain records as required per the records retention procedure, and participate in special internal and external projects as requested.
- Process vendor payment invoices, including reconciling the One Card purchases per the system policy requirements.
- Provide daily guidance, contracts analysis and assistance on resolving technical or difficult issues related to accounts payable processing.
- Monitor employee time sheets for exceptions and incorrect job codes, review timesheets on payroll Monday for incorrect, or missing time entry.
- Ensure all records are retained per the Record Retention policy.
- Assist with arranging DOT physicals when due and track DOT files for accuracy.
- During major storm events, support the Southwest group as needed, as well as providing support for other storm related logistical requirements.
MINIMUM REQUIREMENTS:
Minimum Education:
- Preferred: Some College or equivalent (1 year of customer service experience)
Minimum Experience:
- Admin Assistant I: 0 - 2 years customer service experience
- Admin Assistant II: at least 2 - 4 years customer service experience
- Admin Assistant III: at least 4 - 6 years customer service experience
- Admin Assistant IV: 6+ years customer service experience
Minimum Knowledge, Skills, and Abilities:
- Must be dependable, self-motivated, goal oriented, organized and able to manage multiple tasks with little or no supervision.
- Strong computer skills required, including Microsoft applications (Outlook, Word, Excel, PowerPoint) and Entergy system applications.
- Must possess strong written and oral communication skills.
- Must always maintain confidentiality.
- Thorough knowledge and demonstrated understanding and appreciation of Entergy's safe work practices.
- Demonstrated maturity in decision making and respect of peers.
- Good analytical and organizational skills.
Any Certificates, Licenses, etc.:
- Must be EEI SASS test recommended.
