Note: This is an onsite role based out of our offices in Jackson, MS.  Those from outside the area would be required to relocate for this oppertunity.  Relocation assistance is not avaialble for this posting. 

 

Job Summary/Purpose

In this role, you will provide secretarial/administrative support directly to executives and officer levels and will exercise confidentiality, tact and diplomacy; will use business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc. and may prepare responses to routine correspondence and inquiries; and will receive, screen and direct incoming calls, visitors, mail and e-mail, as well as maintain files, records, calendars and diaries, arrange business travel, coordinate meeting arrangements, and track expenses. You will also participate in the development and implementation of secretarial standards, policies and practices for the organization.

 

Job Duties/Responsibilities

  • Provide secretarial and administrative support to the highest level of Vice Presidents and Officers in the company.
  • Manage calendar, schedule events, travel arrangements, departmental meetings, and arrange conference calls.
  • Manage correspondence and routine documents and presentations given minimal direction. Prepare and draft documents, spreadsheets, presentations, interoffice correspondence and copies.
  • Manage the administrative affairs of the department including invoice processing, supply equipment procurement, training records, etc.
  • Handle and manage multiple assignments, work within deadlines, and maintain confidentiality of departmental issues.
  • Be proactive in forwarding work issues to the appropriate managers/supervisors.

 

Minimum Requirements

Minimum education required of the position

Typically requires vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).

 

Minimum experience required of the position

10+ years of experience with administrative work/secretarial duties.
