Job Summary/Purpose

This position will provide multifaceted administrative support to department management and staff. Responsibilities typically include generating and processing invoices, managing the claims inbox, maintaining the department calendar, performing data-entry, attaching documents to claims electronically, etc.

                                                                                                                        

Job Duties/Responsibilities

  • Create PDR invoices, support the overall PDR billing process, and support the internet claim inbox for liability matters
  • Scan and attach documents to claims electronically (Liability, Workers' Compensation or Public-Damage-Recovery)
  • Administrative support such as managing calendar, handling payment of invoices, and vendor payments
  • Schedule meetings
  • Self-motivated and dependable team player
  • Work with the Records Coordinator on records retention process
  • Manage office supplies, reconcile corporate credit card
  • Handle multiple assignments, work within deadlines, and maintain confidentiality of departmental issues
  • Manage correspondence and routing documents and presentations given minimal direction  Prepare documents, spreadsheets, presentations, interoffice correspondence, and copies
  • Participates in Safety training/reporting programs, on process improvement teams, on storm response teams and in acts of volunteerism
  • Creates claim files in database, perform data-entry, process claim payments to vendors and claimants, properly credit money received through Accounts Receivable process
  • Handles specific assignments and projects, such as maintaining DOT Vehicle Accident Log, tracking statistics/results on excel spreadsheets, coordinating department 'recycling' program, mailing Safety information to customers, distributing Claims instructional & contact packets of information to internal customers, presenting monthly status reports to management, etc.
  • Other assigned duties as necessary within the scope and consideration of minimum job requirements

 

MINIMUM REQUIREMENTS                                                                                                                                                                                                 

 

Minimum education required of the position

Desired: Associates degree.

 

Minimum experience required of the position  

  • 3+ years of customer service experience &, litigation paralegal/secretarial work or equivalent experience
  • Property/ Casualty claims experience and a plus

                                                                                                                                                                                           

Minimum knowledge, skills, and abilities required of the position                                                                                                                                                         

  • Ability to prioritize work and understand when to bring issues to the attention of others through 'dotted-line' and formal reporting structures
  • Advanced skills in Microsoft Office:  Word, Excel, and PowerPoint
  • Ability to communicate with others at all levels throughout an organization
  • Knowledge of Entergy Corporate applications (CCS and Maximo) a plus
  • Ability to work quickly and accurately under deadlines/pressure
  • Strong problem-solving skills, the ability to multi-task, and work productively as a member of the department
  • Demonstrated research, writing, and editing skills as well as oral presentation skills and experience in management of complex data systems
  • Maintain confidentiality of departmental issues
  • Regular and reliable attendance
  • Perform work outside of these duties, as needed, for storm, restoration, or other emergency events

 

Any certificates, licenses, etc. required of the position 

Desired: Claims, paralegal, administrative, secretarial, etc. certifications.
